Overview

Students presenting research at conferences as well as Seniors presenting their eponymous Projects have limited access to a 42" large-format printer. Due to constraints on time and resources, there are several requirements to be eligible for use of the printer.  Students who fail to meet these requirements, including the fixed deadline, will be required to print their poster off-campus, at their own cost.  As very few local businesses provide large-format printing services, and those that do command a premium fee, it is generally in the student's best interest to simply follow the guidelines presented here and print their posters on campus, at no cost to them.

Deadline

Seniors graduating this semester (Fall 2009) and pre-approved research students (check with your adviser) who wish to take advantage of the free printing available to them on campus must submit their posters

No Later Than Wednesday, December 2nd, 2009 at 5:00pm

Students are urged to finish their posters as far in advance of the submission date as possible to allow time for troubleshooting and printing. The combined Senior Project and Independent Research poster session is set for the following Wednesday, December 9th, 2009. 


Requirements for On Campus Printing

1. Posters must be submitted BEFORE the deadline.

2. Posters must be ready to print no less than four days before they are due.

I know that sometimes projects come together minutes before they are due, and most of the time, that's fine. In the case of these posters-- not so much. If I'm out of town the day you finish your poster, and it happens to also be the day it's due... looks like we (read "you") have got a problem. That said, I will make reasonable accommodations to assist you where possible.

3. Students must utilize either the template found here (PowerPoint) or here (TeX).

I ask that students who are unfamiliar with TeX use PowerPoint, as the division has a template created specifically for student use. If everyone starts from the same base, it is far more likely that if (when) errors inevitably arise, we will be able to sort them out in a timely manner that will result in a poster actually emerging. The rule of thumb is generally Math students use TeX, everyone else uses Powerpoint. Students who wish to create their posters using TeX can find more information here or contact Greg Landweber.

4. Work within the green border of the template.

Anything outside the green area will be cut off, since the working area of the printer is closer to 40x40" than 42x42". Don't worry, the green will not be printed (unless you want it there!) Fill in your text boxes, diagrams, pictures of Grandma, whatever. Make sure everything is spelled properly, lined up the way you want it to be lined up, and that your name is on the poster somewhere. When you're reasonably sure you've got it where you want it, you're ready to move on to the next step.

5. Submit the poster for printing.

Once your poster is finished, edited and you are sure it's ready to be printed, you can go ahead and submit the poster via email to BardPosters@gmail.com as Bard's Webmail server can't handle many of the larger files out there. Simply attach your PowerPoint (.ppt) or PDF (.pdf) produced from TeX to an email and send it to that address. Please include in the body of your email:

  • Your name
  • Your adviser's name
  • What program was used to produce your poster (i.e. PowerPoint, OpenOffice, LaTeX)
  • Whether you used a Mac or a PC
Posters sent to Bard Webmail will be discarded (if they even make it to the inbox).

Working with Large Files

Bard's email does not only present an obstacle when it comes to receiving your posters; sending them can also fail, given Bard's attachment size limit of 10MB (and their suggested size limit of 500k).  If you have a poster that is too large to send from your Bard email, you have several options:

  1. Send using a personal email account such as gmail or yahoo, which have much more fogiving attachment limits
  2. Bring the file to me on a CD or other external media such as a USB drive
  3. Use a free file upload service such as uploading.com which allows you to upload up to 100MB for free, then produces a download link.
If you use a file uploading service, make sure that you copy and paste the download link it provides into the email you send to BardPosters@gmail.com

Off Campus Printing Information

All off-campus printing is at the student's own cost, and on their own time.  It is highly recommended that you work within the guidelines presented in this document and print your poster on-campus, but circumstance and preference have their place in these matters as well.  The following local business provide large-format, 42x42 in. printing services.  Please note that as of 2/8/2009, these are the only businesses that provide printing for this size poster.

Please take into account printing and shipping times when selecting a method to print your poster. The college takes no responsibility for late or misplaced posters-- use these services at your own risk. 

Relax

Once your poster is complete, the hard work is done. It's not a huge or complex ordeal to get it printed. The instructions on this page may seem daunting, but they're mostly rules put in place to ensure that everyone's projects are given the attention and priority that they deserve.
